BASIC FUNCTION

Supports and functions as the chapter manager for assigned chapters and other managed organizations that have contracted with ACEP for the provision of management services; overseeing client activities and operations.

Characteristic Duties and Responsibilities

  1. Provide management support for chapter presidents and officers of all assigned chapters.

  2. Manage the chapters’ various projects and initiatives related to the operations of the chapters (elections, meetings, budget preparation, leader visits, orientation of new officers, annual forms due to national, and membership marketing).

  3. Implement, monitor, and update policies as adopted by respective chapter boards.

  4. Oversee development of chapter and member communication efforts, including the development of chapter websites, newsletters, and other communication efforts.

  5. In collaboration with chapter president, plan and direct the development of a strategic plan.

  6. Plan, implement, evaluate and, when necessary, provide onsite management of meetings and conferences.

  7. Work with ACEP’s Director of Chapter and State Relations to oversee advocacy efforts. Ensure that chapter leaders receive information regarding advocacy efforts.

  8. Ensure regular communication between chapter president and ACEP’s relevant departments and functions.

  9. Facilitate active efforts to grow and maintain chapter membership.

  10. In conjunction with the finance department, manage the financial affairs of chapters, including oversight of accounts, deposits, withdrawals from any and all accounts of the managed organization. Work with organization treasurer to develop annual budget and provide monthly/quarterly financial reports. Work with the Finance department to ensure the tax returns are timely filed.

  11. Keep an accurate record of all meeting minutes and transactions of the Board of Directors, Committees and other chapter meetings.

  12. Ensure fulfillment of management services agreement between ACEP and client organization. Monitor billing between managed organizations and maintain appropriate timekeeping to meet minimum contract requirements.

  13. Attend business and educational meetings as assigned.

  14. Travel an anticipated five times per year to national and/or chapter events.

  15. Perform other duties as assigned by manager.

Required Education and Experience

  1. Bachelor’s degree in management, education, communications, health care or related field or equivalent related experience.

  2. Minimum of three years’ experience providing high-level organizational support including working on multiple projects and/or for multiple clients, planning meetings and conference calls, developing meeting materials, creating communication vehicles such as newsletters or websites.

  3. Ability to problem-solve and work independently in a dynamic environment with numerous deadlines.

  4. Strong computer skills, especially Microsoft Office 365, Association Management Systems, and other tools needed for successful association operations.
