BASIC FUNCTION

Manages federal, foundation and corporate grant-related projects, tasks, and activities; ensures grant programmatic and financial compliance requirements are met; supports the grant project work of ACEP staff and members.   

Characteristic Duties and Responsibilities

  1. Provides project management for grant projects including drafting, editing, and proofreading reports and correspondence; creation, development and maintenance of project databases and financial spreadsheets; processing invoices and requests for payment; compiling and submitting financial and programmatic reports; compiling and analyzing information on budgets and projected expenditures; communication with grant stakeholders; file maintenance; and compiling information needed for communications. Provides information to members as needed on the status and content of activities.

  2. Manages subject-matter experts (SME), staff and vendors in the development of educational, quality improvement and training products, including lectures, videos, webinars, podcasts and online education. Prepares the ACEP/AMA CME/CE application process for courses.

  3. Work with SMEs and staff to develop questionnaires and surveys; collects, tabulates, and analyzes resulting data; drafts project findings; coordinates distribution of information to appropriate internal and external contacts; accesses and distributes information available from others.

  4. Support the development of evidence-based practice resource tools, including obtaining quotes on app development, managing the work of an expert panel, and preparation of working documents.

  5. Develops updates and communications on grant-funded projects including preparation of initial drafts, budgets, and reports and coordination with staff to prepare and distribute final product.

  6. Plans and prepares for grant workgroup meetings including drafting of correspondence; preparation of minutes, quarterly reports, rosters, and agendas; preparation, compilation, and distribution of meeting materials, coordinating conference call and travel arrangements; and monitoring and summarizing progress on projects with minimal.

  7. Monitors progress of the grant projects, communicates deadlines with project managers, and works with project managers and the Finance department to develop appropriate reports for funding agencies and staff.

  8. Reviews and analyzes post-award contracts for thoroughness and accuracy as related to the submitted proposal and budget. Works closely with project staff to ensure the statement of work, all deliverables, budgets, project timelines are correct and accurate. Works closely with funding source to make any needed revisions in award. Prepares budgets, deliverables, reporting on grants, subcontracts, contracts, vendor agreements, amendments that are in compliance with the original award.

  9. Ensure that all grants and contracts are submitted to and approved by the Legal department prior to execution and the commencement of a party's professional services for the grant project. Work closely with the Legal department to ensure that all related subcontracts, contracts, vendor agreements and amendments are correct and accurately reflect award requirements.

  10. Works closely with financial staff and external auditors during annual federal audits to provide award budget information, expenditures, reports, back-up documentation and answer audit-related questions.

  11. Attends business and educational meetings as required.

  12. Performs other duties as assigned by supervisor.

Clinical Practice Division, Quality Division, Finance, Legal, and Technology Services 

External Contacts:

Federal, foundation and corporate contract leaders and project officers; institution (university) subcontractor SMEs and staff; and ACEP members

Required Education and Experience

  1. BA or BS in a related field or equivalent related experience.

  2. Three years of federal, foundation and/or corporate grants management and/or project management experience including written financial and project reports/presentations and management of multiple projects.

  3. Computer skills including MS Office Suite, Adobe Acrobat, and accounting systems.

Other Desired Qualifications

  1. Experience managing large, multi-year and complex federal government grants.

  2. Understanding of federal contract and grant rules and regulations.

  3. Understanding of emergency medicine.

  4. Degree or certification in project management.

  5. Master’s degree.
